PTO's goal is to support the relationship between administration, staff, parents, children, and the community. We promote the school's educational programs and extra-curricular activities by organizing volunteer services and fundraising programs.

Fundraising PTO meeting minutes

December 5, 2005

Meeting began @ 7:05 pm.

Attendees: Ray Serbick, Lisa Napolitano, Patty Peletis, Carrie Schweitzer, Lisa Marie Vogt, Mary Schramer, Jenn Fuechsl, Debbie Paler, and Betty Coady

We need to raise over $7,500 to cover our normal operating budget for next year.

Lisa Marie Vogt spoke to Sue Rylowicz. Sue asked Lisa Marie if she could book the date for the Sally Foster sale in 2006. Sue just wanted to make sure it was all right. We discussed the date and decided to go ahead and tell Sue to book the date for next year.

Information from Sandy Tennis via e-mail: for the upcoming band Caribbean Night (Feb. 11, 2006) PTO’s role will be to sell concessions. Possibility of selling dippin dots.

Patty Peletis handed out fliers on current PTO fundraisers and additional fundraising possibilities (available upon request).

Golden Canyon Candles are a fundraiser currently being done at the West Chicago H.S. They are similar to Yankee candles. (40% profit, not exactly sure of profit).

Price, fragrant, some parents prefer the Golden Canyon Candles to Yankee Candles. Gold Canyon are less expensive, but Yankee candles are more recognized.

We are NOT doing bunny sales this year.

Zap Snacks fundraisers (Patty handed out brochures for everyone to view) questionable.

Most fundraiser sales are 3 weeks long.

Motion was approved to do a Yankee Candle and Chippery Cookie Dough Sale simultaneously. Orders would need to be in before Spring break on March 22, 2006.

Send out the fundraiser, where the beginning date would be March 8th and Sale end at March 22nd.

We would have to stress that no late orders can be accepted. Delivery of the products would either be April 10th or April 11th.

Debbie Paler is going to check with Yankee Candle due to the fact that they only have 2 sales per year. One in the winter (which we already missed) and one in the spring.

If we are too late with Yankee Candle we approved a motion that the fundraiser would then be Golden Canyon Candles along with the Chippery Cookie Dough.

A cover letter will go home with these 2 fundraisers. The letter will contain that we understand that we as parents we cannot support all of our fundraisers, but by having these fundraisers, PTO funds many programs for our children.

Thoughts had gone around the table to send home a letter to all the parents, that it is understood that we are all busy and may not want to be involved with the fundraiser, but they could have the option to send in a monetary donation instead.

Mrs. Napolitano stated at her children’s school they only do one big fundraiser a year. (Innessbrook) The parents all know when this fundraiser will occur and if parents do not want to participate in the fundraiser, a certain monetary donation that is expected. She said it works very well at their school.

WE NEED TO PUT A GOAL DOWN OF WHAT WE NEED TO RAISE. WE NEED TO PUBLISH THIS GOAL AND WHEN WE REACH THE GOAL SHOW PARENTS WHERE THE MONEY GOES TOWARDS. Suggestions were pie charts or possibly a big thermometer to show families how close we are to our fundraising goals.

WE NEED TO ADVERTISE:

We also need to promote more of the Cub Foods, Kemp Milk caps, Box Tops, Etc. Need to market this more this is FREE MONEY to our school!!!!

The Winfield Stuff

The Chalkboard flier (this flier goes to all our families’ throuout the community)

Post fliers in the library (explaining all about our fundraisers and what items and programs are purchased by the money raised in these fundraisers). Need to talk to Linda McNamara to see if we can post up in the library.

We need to constantly remind families of these!!

Upcoming Bake sale at the Winter Music Concert Thursday December 15th. Linda McNamara in charge of. Fliers will be coming home with the children. Expected income to be approximately $300-$400.

Greenery Sales Patty Peletis-- Greenery had about a $950 profit. The greenery supplier had donated $150.00 to our school.

Possibly considering selling concessions at upcoming basketball games at our school.

The Volleyball tournament outcome was:

-$729.80 brought in

-$500.00 we spent with some product left over

Some of the product that was left over was used at the Family Movie Night. Concessions at our Movie night: Profit of $50.00

Movie night suggestions were made to consider having families bring in Cub Food receipts, Kemp milk caps, etc. in exchange for a free bag of popcorn.

Web Site (Jenn Fuechsl)—with only one month since the last meeting Jenn had the PTO website up and running. Thank you for all your hard work. It looks great per Lisa Marie Vogt. Website is Winfield34PTO.com

We were all able to view the website as a group with Jenn. Great job !!!

Annual Big Fundraiser-Possible Chili fest at the end of April. Maybe April 21st or 22nd. Along with the chili fest we may do either a talent show or some form of entertainment. Silent auctions and raffles are a must; we are able to raise a lot of money from these.

Need to check with Mrs. Palagi and Dr. Cody if they are alright with the idea of the Chili fest. Concerns were possible; parents may not like other people making chili. Motion was passed on the chili fest upon approval from Mrs. Palagi.

Volunteers (Mary Schramer)- Would like to reconstruct the current volunteer booklet and list.

Mary would like the booklet to indicate what days people would be most likely to help.

Then the committee chairs for the corresponding events may go down their list of names and determine who may be available. It is hard for people to commit to a specific date; they can let us know what days they are available and then committee chairs can call them on an as needed need basis.

We need to utilize the services of people who volunteer – or they will not continue to volunteer, and will assume we have enough help.

Mary wants to keep some of the old format. Approximately 30% of families return the volunteer sheets.

Mary also created a list (Top ten free fundraisers) to get the word out. How we can raise money for our school without spending extra.

Debbie Paler suggested to Mary that in her letter not to emphasize that we hate fundraisers. The bulk of our income is from fundraisers.

-The list compiled is great and we will send this list out to families showing them how much all these items sent in can then in turn purchase various items for school.

This list could possibly go out in our chalkboard flier (Sandy Cole compiles this flier).
